Senior Process Associate
Administrative Assistant

Role Description:
We are seeking a high-performing Administrative Assistant contractor to provide support to 3–4 Senior Directors. This role requires an experienced, highly organized, and proactive administrative professional who can effectively manage multiple leaders, competing priorities, and a fast-paced environment.
The ideal candidate can hit the ground running, anticipate needs, exercise strong judgment, and operate independently with minimal direction. Success in this role requires exceptional attention to detail, strong communication skills, discretion, and the ability to stay several steps ahead of the leaders being supported.
Responsibilities:

Calendar & Meeting Management

  • Manage complex calendars for 3–4 Senior Directors, including scheduling across multiple teams and time zones.
  • Proactively identify and resolve scheduling conflicts, prioritize competing requests, and make thoughtful recommendations based on business priorities.
  • Coordinate meetings end-to-end, including participants, agendas, meeting technology, locations, logistics, and supporting materials.
  • Anticipate meeting needs and ensure leaders are prepared with the appropriate information and materials.
  • Capture and distribute meeting notes and action items when needed and follow up on outstanding actions.

Administrative & Leadership Support

  • Serve as a reliable and professional point of contact for the Senior Directors and their teams.
  • Act as a proxy for communications and approvals when authorized.
  • Manage incoming requests, independently resolve routine matters, and appropriately prioritize or escalate issues requiring leadership attention.
  • Demonstrate strong judgment and initiative, bringing recommended solutions when issues arise rather than simply escalating problems.
  • Build effective working relationships with other administrative professionals and key stakeholders.

Travel Coordination

  • Coordinate complex domestic and international travel for assigned leaders, including flights, accommodations, ground transportation, and detailed itineraries.
  • Optimize travel arrangements around business schedules while adhering to travel policies and managing expenses responsibly.
  • Proactively manage changes and disruptions to travel plans.
  • Ensure travel requirements and preferences are addressed, including passports, visas, connections, transit logistics, and other international travel considerations.
  • Prepare comprehensive travel briefs for international trips and major events, incorporating meeting schedules, event details, logistics, and customer/team engagements.

Expense Management

  • Prepare and submit accurate travel and expense reports in a timely manner.
  • Manage miscellaneous expense reports and required approvals.
  • Support team travel and expense processes while ensuring compliance and Expense policies.

Special Projects & Team Support

Provide administrative and analytical support for special projects as needed
  • Research issues, compile information and data, and prepare reports or materials for leadership.
  • Identify opportunities to improve administrative processes and increase efficiency.
  • Partner with the broader administrative community to solve problems, share best practices, and ensure effective coverage and support.

Confidentiality & Professional Judgment

  • Handle sensitive and confidential information with a high degree of discretion and professionalism.
  • Exercise sound judgment in determining when executive involvement is required.
  • Maintain composure and flexibility while managing changing priorities and urgent requests.

What We’re Looking For

  • Proven experience supporting multiple senior leaders simultaneously, ideally 3 or more.
  • Strong experience managing complex, high-volume executive calendars.
  • Demonstrated ability to work independently and anticipate needs rather than wait for direction.
  • Excellent organizational skills with exceptional attention to detail and follow-through.
  • Strong judgment, problem-solving skills, and ability to appropriately prioritize and escalate.
  • Experience coordinating complex domestic and international travel.
  • Strong written and verbal communication skills.
  • Ability to build relationships and work effectively across teams and organizational levels.
  • Comfortable operating in a fast-paced, global environment with frequently changing priorities.
  • High degree of professionalism, discretion, reliability, and confidentiality.
  • Ability to quickly learn processes, tools, and ways of working.
This is a contractor position supporting 3–4 Senior Directors and requires someone who can quickly integrate into the team, operate with a high degree of independence, and provide consistent, high-quality administrative support from day one.
Basic Requirements:
  • High School Diploma or GED equivalent
  • Minimum of 1 year of experience related to the job description.
